Best Practices for Long-Term Vehicle Rentals

A lengthy excursion for work, going for relaxation, or learning at a school a long way from home—more individuals are leasing vehicles for a month or more at a time. For renters with inquiries concerning these more extended-span rentals, we wanted to share some accepted practices from our community to make this experience as convenient as possible. These are a couple of things to deal with early.

1. Communication is Key

Communication is essential with any rental transaction, and this is particularly true for long-haul rentals. It’s crucial that both the owner and the renter understand each other well. As an owner, ensure that your renter has recorded the most important contact details, especially phone numbers and the exact pickup address. Be sure to maintain communication throughout the rental period.

We encourage you to set up a regular update call, text, or email. This ensures trust between parties and helps address any minor issues before they become bigger problems. Some renters prefer updates weekly, others are fine with once a month—so decide on this together before the rental starts. For longer rentals, a visit to the mechanic during the trip is almost certainly necessary, just as it would be for short-term rentals. Think about how you want to proceed, for instance, in the case of regular wear and tear or maintenance needs, such as changing fluids or oil.

2. Handling Emergency Situations

Make sure you and your renter have agreed in advance on the protocol for what to do in case of an emergency. First, we emphasize the importance of keeping your vehicle in top condition when leasing it for an extended period. Ensure the oil is changed regularly, tires are rotated, and any known issues are addressed promptly. Secondly, remember that the initial impression your vehicle makes will leave a lasting impact on the renter. Take time to clean it thoroughly, so your renter feels motivated to keep it clean and return it in the same condition.

3. Conduct a Thorough Walkaround

It is essential that you walk around the vehicle together and carefully complete the trip checklist. Take your time to document all scratches, dings, and inconsistencies on the car to avoid any disputes when the vehicle is returned. To ensure transparency, we strongly recommend taking photos of the vehicle, which might be helpful to our support team in case of a claim. Lastly, take advantage of the walkaround to show off any tips and tricks of your vehicle so your renter feels comfortable right away.
